We collect the information in 5.1 to 5.6 directly from you when you complete the enquiry form on Our Site or otherwise contact us, and the information in 5.7 to 5.10 automatically when you use Our Site (see section 9). If your enquiry progresses, we may also collect information about you in your professional capacity from publicly available sources, such as your organisation’s website, Companies House and professional networking sites, as part of our due diligence on prospective partners. We need your name and email address to respond to your enquiry. The other information is optional, but it helps us to deal with your enquiry. Please do not send us any sensitive information about yourself, such as information about your health, as we do not need it.

6. How Do We Use Your Data?

6.1. All personal data is processed and stored securely, for no longer than is necessary in light of the reason(s) for which it was first collected. We will comply with our obligations and safeguard your rights under Data Protection Law at all times.
6.2. We use your personal data to respond to your enquiry about the technology, to discuss with you and your organisation possible opportunities to license, invest in, develop or collaborate on it, to carry out due diligence on prospective partners, and to keep a record of our contact with you. We will not, however, send you any unsolicited marketing or spam and will take all reasonable steps to ensure that we fully protect your rights and comply with Our obligations under Data Protection Law and Cookie Law.
6.3. Our lawful basis for using your personal data in these ways is that it is necessary for our legitimate interests in responding to enquiries and in developing and commercialising the RVC’s research so that it can be put to practical use (Article 6(1)(f) UK GDPR). We have weighed these interests against your rights and consider this use to be what you would reasonably expect when you contact us. You have the right to object to this use at any time (see section 4). Where we need to keep or disclose information to comply with the law, our lawful basis is compliance with a legal obligation (Article 6(1)(c) UK GDPR).
6.4. If you tick the box on our enquiry form, we will also send you occasional email updates about the technology. We will only do this with your consent, which you can withdraw at any time by using the “unsubscribe” link in any update or by contacting us.
6.5. We will keep your personal data for up to two years after our last contact with you and will then securely delete it. If your enquiry leads to an agreement with the RVC, we will keep the relevant records for as long as we need them in connection with that agreement, in line with the RVC’s records retention schedule.

7. Do We Share Your Data?

7.1. Your personal data will be seen by RVC staff who need it to deal with your enquiry, including the Research and Innovation Office and the RVC researchers who developed the technology. We also contract with third parties to supply services on our behalf, such as website hosting, email and IT services. In some cases, the third parties may require access to some or all of your data. Where any of your data is required for such a purpose, we will take all reasonable steps to ensure that your data will be handled safely, securely, and in accordance with your rights, our obligations, and the obligations of the third party under the law, and that they only use it on our instructions.
7.2. In certain circumstances, we may be legally required to share certain data held by us, which may include your personal data, for example, where we are involved in legal proceedings, where we are complying with legal requirements, a court order, or a governmental authority.
7.3. We may also share your personal data with our professional advisers (such as lawyers or patent attorneys) where this is needed in connection with a proposed agreement. If the technology is licensed to, or further developed by, another organisation (such as a company set up to commercialise it), we may pass your enquiry to that organisation so that it can respond to you. We will tell you if we do this.
7.4. We will not sell your personal data or share it with anyone for their own marketing.
7.5. Some of our service providers may store or process your personal data outside the UK. Where they do, we will make sure that the transfer is permitted by Data Protection Law, for example because the UK Government has approved transfers to that country or because appropriate safeguards (such as the ICO’s International Data Transfer Agreement) are in place. You can ask us for more information about these safeguards using the details in section 10.

8. How Can You Access Your Data?

You have the right to ask for a copy of any of your personal data held by us. To do so, or to exercise any of your other rights under section 4, please contact us using the details provided in section 10. No fee is normally payable. We will respond within one month of receiving your request (or of receiving any information we need to confirm your identity). If your request is complex, we may extend this by up to two further months, and we will tell you if we need to.

9. Our Use of Cookies

9.1. Our Site may place and access certain first party Cookies on your computer or device. First party Cookies are those placed directly by us and are used only by us. We use these Cookies to make Our Site work. Because they are strictly necessary, we do not need your consent to use them. We have carefully chosen these Cookies and have taken steps to ensure that your privacy and personal data is protected and respected at all times.
9.2. If you consent, you may also receive certain third party Cookies on your computer or device. Third party Cookies are those placed by websites, services, and/or parties other than Us. 9.3. All Cookies used by and on our Site are used in accordance with current Cookie Law.
9.4. Before any Cookies that are not strictly necessary are placed on your computer or device, you will be asked to accept or reject them via a pop up window. We will only place those Cookies if you accept them, and you can change your choice at any time via the “Cookie settings” link at the foot of each page.
9.5. Our Site uses analytics services provided by Google Analytics. Website analytics refers to a set of tools used to collect and analyse information about how visitors use a website, such as the pages visited and for how long, enabling us to better understand how our Site is used. This, in turn, enables us to improve our Site. These Cookies use a unique identifier and collect information about your device and how you use Our Site, which Google may process in the United States (see section 7.5). You do not have to allow us to use these Cookies: we will only use them, and the information they collect, if you consent, and refusing them will not affect your use of Our Site.
9.6. In addition to the controls that we provide, you can choose to enable or disable Cookies in your internet browser. Most internet browsers also enable you to choose whether you wish to disable all cookies or only third party Cookies. By default, most internet browsers accept Cookies but this can be changed. For further details, please consult the help menu in your internet browser or the documentation that came with your device.
9.7. You can choose to delete Cookies on your computer or device at any time, however you may lose any information that enables you to access our Site more quickly and efficiently.

10. Contacting Us

If you have any questions about our Site or this Privacy Policy, please contact us by email at epalominolago@rvc.ac.uk, or by post at the address in section 2.1. If we make significant changes that affect how we use personal data you have already given us, we will tell you directly where we can. We recommend that you check this page to keep up-to-date.
